How we work

A tender file differs from ordinary translation in who reads it: not a partner but a committee applying formal criteria. A discrepancy in the company name, inconsistent numbering of annexes or a loose rendering of a qualification requirement is grounds to reject a bid, however strong it is on the merits. So we treat the file as a whole: consistent names, consistent structure, cross-references verified between documents, and a deadline tied to the submission date rather than to our convenience.

Frequently asked questions

Will you meet the submission deadline?

Tell us the date at the outset — the whole schedule is built from it. If it is not realistic for sound work, the manager will say so plainly and propose what can be done: split the file into batches, add translators, or confine the work to the documents without which the bid will not be accepted.

How should tender documents be certified?

It depends on the procurement terms: some accept the agency seal, others require notarial certification, and procedures abroad often need an apostille. Send us the clause on language and certification and we will confirm what is required before work starts — redoing a certified file is expensive.

Do you sign an NDA?

Yes, in your wording or ours, before material is transferred. For tenders this is routine: the price and the technical solution are commercial secrets.

Can you translate only part of the file?

We can, with one caveat: if the company name or a job title in the translated documents differs from what has already been submitted, the committee will see the discrepancy. If another supplier translated part of the file, send it to us and we will match the spelling already on record.

Do you handle international donor documentation?

Yes. EU procedures, development banks and technical assistance agencies have their own settled terminology and forms — names of procedures and budget lines are not translated literally but as they appear in that organisation's own current documents.
