2. Data we process
We receive data from you, your organisation or automatically when you use the site.
- name, company, phone, email and enquiry content;
- files and personal data in documents submitted for quoting or performance;
- contract, invoice, payment, delivery and correspondence data;
- IP address, security logs, consent settings and campaign parameters subject to your cookie choices;
- manager-chat records after you start a conversation.
3. Purposes and legal bases
We process data to answer enquiries and take pre-contractual steps; perform contracts; manage payment, accounting and legal duties; maintain quality and security; and run analytics or advertising only with consent where required. Legal bases include Article 6(1)(a), (b), (c) and (f) GDPR, as applicable.
4. Sensitive documents
Translation files may contain health, biometric, migration or other sensitive data. Submit only what is necessary. Access is limited to the project team and additional contractual and organisational safeguards are applied. Where special consent or another condition is required, it will be agreed before work starts.
5. Recipients
Data may be accessed by staff, translators, editors and contractors bound by confidentiality; hosting, email, CRM/Chatwoot, analytics, payment and delivery providers; and authorities where legally required. We do not sell personal data.
6. International transfers
Data may be processed outside Ukraine or the EEA. Transfers governed by GDPR rely on adequacy decisions, EU Standard Contractual Clauses or another permitted safeguard. Information about a specific provider is available on request.
7. Retention
Enquiries that do not become orders are retained for up to 24 months; project materials normally for up to 90 days after completion unless agreed otherwise; contracts and accounting data for statutory periods; cookie-consent records for up to 12 months. Data is then deleted or anonymised unless needed for legal claims.
8. Your rights
Subject to applicable law, you may request information and access, rectification, erasure, restriction, portability, object to processing and withdraw consent. We respond without undue delay and, under GDPR, normally within one month. You may complain to your local EEA data protection authority or the Ukrainian Parliament Commissioner for Human Rights.
9. Security and updates
We use access controls, protected transmission, backups, logging and confidentiality obligations. No method is absolutely secure, so do not send unnecessary data. Material changes will be published on this page.
